How do guests make reservations?
We make it easy for your guests to book their stay. We provide a URL link to include on your group website or that you can share via e-mail. Simple. They click on the link and get access to the special rate you have arranged for them. Or they can call us at 1-866-866-7977.
If you are making the reservations for your guests, you can download this template and just fill it in when you have all of the names and dates for your guests’ stay.
What are you on the hook for when you book a block of rooms?
To get the best group rate, you will just need to guarantee the use of at least 8 rooms on one night. We hold a block of rooms for you, without any specific names – just under your group name. The reservations for those rooms will need to be made at least 30 days in advance. Once we reach that 30 day timeline, we release any rooms in the block that have not sold. And yes, we still ask that you pay for the original number of rooms you blocked (within a few rooms here or there of course).
How do we "guarantee" rooms?
You will provide a credit card when you set up your room block. The credit card will only be charged for any rooms you authorize, and if you do not meeting the minimum number of rooms committed. For instance if you reserve 10 rooms, you would need to guarantee that at least 8 of those 10 rooms get reserved. If your guests only reserve 7 of the 10, you would pay for the 8th room with your credit card on file.
Can we do a courtesy block if we don't want to guarantee payment of the rooms?
Yes, you are able to hold a block of up to 10 rooms without guaranteeing payment of those rooms, based on availability. We hold the rooms up until 60 days prior to arrival, so your guests would need to make their reservations at least 60 days in advance to get the group rate. It is a good idea to have the room reservation date be close to your event RSVP date. At 60 days, the room block is released, and your guests are no longer guaranteed the group rate you set up for them.
What if I am providing all of the names and payment for the rooms?
This makes it very easy. We hold the rooms for you, up until 30 days prior to the group’s arrival date. You provide the list of names along with the payment method you would like to use at least 30 days prior to the arrival date. We charge 75% of estimated charges to your payment method 3 days prior to your group’s arrival.
